Back Office & Operations Specialist – Optical Glass (m/f/d)
Purpose of the Position
The Back Office & Operations Specialist is responsible for the complete commercial processing of customer and supplier orders for optical glass products. The position serves as the central interface between customers, suppliers, production sites and internal departments, ensuring an efficient supply chain, excellent customer service and smooth operational processes.
Key Responsibilities – Purchasing & Supply Chain Management
- Manage requests for quotations with Ohara Inc. and affiliated production sites in Japan, Taiwan Malaysia and China.
- Purchase and manage optical glass materials for stock and customer-specific requirements.
- Coordinate delivery schedules and monitor supplier performance.
- Negotiate commercial conditions with suppliers.
- Monitor purchasing orders, backlog, work-in-progress (WIP) and delivery performance.
Sales Support & Customer Service
- Prepare customer quotations according to technical specifications.
- Advise customers regarding products, pricing and availability.
- Follow up quotations and coordinate customer orders.
- Process customer purchase orders in the ERP system.
- Coordinate order confirmations, delivery dates and shipment schedules.
- Handle customer claims, complaints and returned products.
- Maintain strong customer relationships through proactive communication.
Logistics & Export Coordination
- Coordinate domestic and international shipments.
- Prepare export and customs documentation.
- Work closely with freight forwarders and logistics partners.
- Support inventory management and warehouse operations.
Administration & Continuous Improvement
- Maintain customer and supplier master data.
- Manage documentation and filing.
- Monitor petty cash and office purchasing.
- Support continuous improvement of ERP systems and business processes.
- Participate in cross-functional improvement projects.
Qualifications
- Commercial education or equivalent qualification.
- Experience in purchasing, customer service or international back office.
- Experience with ERP systems.
- Good English and German language skills.
- Strong MS Office skills.
